WordPress Training Guide

This guide will cover the essentials of using WordPress and the unique custom features we’ve built for you. If you have questions, please reach out to us!

Site Access

In the future you may need to grant permissions to others or adjust who can access different parts of your site. Here’s how you can manage user accounts and control site access:

Adding a New User

  1. Go to “Users” > “Add New.”
  2. Fill in the user information, including username, email, first name, last name, and password.
  3. Choose the appropriate role for the user (e.g., Administrator, Editor, Author, Contributor, Subscriber).
  4. Click “Add New User.”

Editing an Existing User

  1. Go to “Users” > “All Users.”
  2. Click on the username of the user you want to edit.
  3. Make the necessary changes, such as updating the email, changing the role, or resetting the password.
  4. Click “Update User.”

Deleting a User

  1. Go to “Users” > “All Users.”
  2. Hover over the username of the user you want to delete and click “Delete.”
  3. You will be prompted to reassign or delete the content created by this user. Choose the appropriate option and confirm the deletion.

User Roles and Permissions

Understanding user roles is crucial for managing site access effectively. Here are the default WordPress user roles and their capabilities:

Subscriber: Can manage their own profile and view content. Suitable for membership or subscription-based sites.

Administrator: Full access to all site features, including theme and plugin management, user management, and content creation/editing.

Editor: Can publish and manage posts, pages, and other content types created by any user.

Author: Can publish and manage their own posts.

Contributor: Can write and manage their own posts but cannot publish them. Posts must be approved by an Editor or Administrator.


Logging into WordPress

Go to https://www.vantage.ag/login

Enter your login credentials provided by the administrator.

Once logged in, you’ll be directed to the WordPress dashboard.

If you forget your password in the future, you can use the “Lost your password?” functionality below the login.


The WordPress Dashboard & Left Hand Menu

Once logged in, you will land on the Dashboard Screen. From here you can see many options in your menu along the left side. The main area that you will use to edit is: 


Toggling between the Frontend & Backend of the Website

When you are in the backend, click on the house icon on the top left of your screen to toggle between the backend and frontend.

This helps in quickly locating and editing specific pages.


Media Overview

The Media Library contains all of the images, videos, logos and PDFs that are on your site. As there is quite a lot of media on your site, it has been divided into categories to make them more accessible.


Adding New Images & Videos

On the top of the Media Library, click on Add New. Then select the image or video that you want to upload.

The Upload option will open up and you can select or drag and drop images from your computer here.


Replacing Existing Images

Hovering over the image will show the formatting options. 

Clicking on the “x”  will remove the image. The “Pencil” helps you to edit the existing image. 

After removing the image, you can add a new one by clicking on “Add Image”

To add a new image you would click on the “Upload Files” 

You can drag and drop or select files from your computer to upload.

Image Sizes

Recommended Pixel Sizes
Feature image sizes (landscape 1200 x 900 pixels)
Feature image sizes (portrait 900 x 1200 pixels)
Background image size (1920 x 1080 pixels)
Logo image size (200 x 100 pixels)
Thumbnail image size (150 x 150 pixels)

Image Formats
JPEG or PNG

Image File Size
Optimize every JPEG and PNG before uploading to improve website performance. Compressing images enhances speed without sacrificing quality. Use squoosh.app for effective compression without resizing images.


Editing Content

Most of the content on this site is in the form of paragraphs. In some cases, certain words have web links added to them. These links can take you to pages within the site or an external site. 

Saving all edits:
All page edits must be saved by clicking on the “Save/Update” Button on the top right of the screen


Formatting Text

To make your content more engaging and easier to read, you can format your text in various ways:

  1. Bold: Highlight text and click the “B” button.
  2. Italic: Highlight text and click the “I” button.
  3. Inline code: Highlight text in a sentence to be green. See visual example in Columns.
  4. Headings: Use headings to organize content. Select the text and choose the appropriate heading level from the drop-down menu in the editor.
  5. Lists: Create bullet points or numbered lists by clicking the respective buttons.

You can also add links to your content that would link to another page on your site (and internal link) or link to a different website (an “external link”)

To add a link to a certain word or phrase:

  1. highlight the word or phrase you would like to add a link to.
  2. Click on the “chain link” icon.
  3. Paste in or search for the link that you would like to add.
  4. Click on the link and press Enter.
  5. To add an external link, follow the same steps as above, except after adding the link, make sure the “Open in new tab” option is selected.

Schedule Post

To schedule a post:

  1. Go to the Publish section on the right sidebar.
  2. Click the current publish value. The image, the value is Immediately.
  3. Set the date and time the post should be published on.
  4. Select the Schedule button that appeared on the top bar.

Company Details & Options

To edit key global content areas on the website (such as social links, contact info, location, copyright info), go to Company Details in the left sidebar.


Group

Group sections and content together with the group block. It adds padding to the top and bottom of the section and centres the content on the page.

The option follow:

  1. Default: no styling or background color
  2. Dark Background
  3. Full-width: Narrow: Needs to be nested inside a Default or Coloured Group to be centred on the page with padding. Makes content width full-width.
  4. Narrow: Needs to be nested inside a Default or Coloured Group to be centred on the page with padding. Makes content width narrow; Does NOT centre content or add padding to the top/bottom.

Columns

Use the Columns block to display content side by side. This is a core WordPress block with no custom styles applied.

You can place most blocks inside each column, including text, images, buttons.

A few things to keep in mind:

  1. You can adjust the number of columns and their width ratios from the block settings in the sidebar.
  2. On mobile, columns will automatically stack vertically.

There are custom column styles to apply to columns. Select a column inside the Columns block and options will show int he right Style Panel.

  • Card Filled – adds padding and background colour to each column
  • Card Padded – adds consistent spacing around content in each column

Inline text colours applied through inline code. Shown in Formatting Text.


Buttons

Add clickable buttons to your page using the Buttons block. We’ve set up three custom button styles to keep things consistent across the site.

The style options are:

  1. Primary: The main call-to-action button. Use this when you want something to stand out and grab attention.
  2. Secondary: A supporting button with less visual weight than the Primary. Use this when you have a second action alongside a Primary button, or when the action is important but not the main focus of the section.
  3. Text Link: A minimal button styled to look like a link with an arrow or indicator. Use this for softer actions where a full button would feel too heavy — things like “Read More” or “See Details.” Works well at the end of a content section as a subtle nudge.
  4. Text Link (Light): Same as text link just lighter variation for visibility on darker backgrounds.

Accordion Row

Block includes:

  1. Heading
  2. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

MUST be included inside Columns, Groups, or custom blocks.


Hero Banner

Block requires:

Video comes from theme code.

  1. Default Background Colour: Charcoal or Light Charcoal as backup if video fails.
  2. Image: Default Image as video backup
  3. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


Subpage Banner

Block requires:

  1. Accent Colour: Blue, Yellow, Purple, or Orange
    • Blue header accent for pages under ABOUT section
    • Orange for EXPERIENCE
    • Purple for BUSINESS
    • Yellow for accent. Can be used as needed.
    • Pages under Pillar sections don’t need to be limited to ONE colour across block accents you can mix and match as they are all brand colours and create visual variety while staying on brand.
  2. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


Feature Bento

Block requires:

  1. Container Left, Center Top, Center Bottom, Right
    • Image or Video
    • Link
    • Accent Text (Container Right only)

Do NOT include inside Group.


Expanding Cards

Block requires:

  1. Repeater Rows:
    • Card Title
    • Subtitle
    • Link
    • Image
    • Accent Colour (Orange, yellow, blue, purple)
  2. Section Line Accent: (Orange, yellow, blue, purple)
  3. Section Image
  4. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


Image & Content

Block requires:

  1. Image
  2. Image Position: left or right
  3. Photo Tagline (optional)
  4. Content Type:
    • Standard Yellow: Manual content with yellow accents
    • Standard Blue: Manual content with blue accents
    • Events: Upcoming or Manually selected from Events CPT – Button link to Calendar page
  5. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


Image Grid

Block requires:

  1. Images (4)

Do NOT include inside Group.


Columns with Icons

Block requires:

  1. Repeater Rows:
    • Icon
    • Heading
    • Content
  2. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


Featured Post

Block requires:

  1. Post Type:
    • News
    • Event
    • Team Member

All content comes from the post itself. To edit content you’ll have to edit the individual post content.

Do NOT include inside Group.


Team Grid

Block requires:

  1. Position Type:
    • Team Members
    • Board of Directors
  2. Team Member Selection
    • All information comes from Team CPT
    • Choose & re-order team members from list
  3. Background Colour: Black or white
  4. Content: Edit in Preview Mode
    • Select the block and select the preview mode option shown above the block

Do NOT include inside Group.



Upcoming Events

Block requires:

  1. Event Source:
    • Manual Selection: Manually choose specific events form the Events CPT.
    • Upcoming: Shows upcoming events from CPT.
    • Custom: Manually added content for an event that may not live in Events CPT. Preferred to have events in the CPT though. This is a one off very special use case.

Do NOT include inside Group.


Stay COnnected

Block requires:

  1. Heading
  2. Post Selection: Choose posts from Posts.

Do NOT include inside Group.


Scrolling Logos

Block requires:

  1. Images
  2. Content:
    • Edit in Preview Mode Select the block and select the preview mode option shown above the block

Do NOT include inside Group.


News Listing

Block requires:

  1. Sidebar Link & Content (optional)

This block is auto populated with published news items from Posts along with published categories added to posts.

Do NOT include inside Group.


CPT: Posts

Posts are used for news items on the site. To create a new post, select Add New Post.

This Sample Post can be a starting or reference point when creating new posts.

Content

The body of the post is added in the main content area. A couple of things to keep in mind when building the layout:

  • For basic content blocks (headings, paragraphs, lists), start with a Group block using a Narrow or Mid Narrow style. This keeps the content at a comfortable reading width on the page.
  • Custom blocks and Columns should not be placed inside a Group. They handle their own width and layout.
Categories
  • Assign at least one Category to each post. Categories control how posts are grouped and filtered when they appear in listing blocks across the site. Avoid creating new one off categories each time. Be intentional with categorization.
Featured Image
  • If one is not set a generic branded placeholder is automatically applied.

Optional Fields

Author Info
  • Each post can include author details made up of an image, a content field, and a description field. All three are optional and will only display on the single post page if filled in.
Resources
  • A repeater field for adding links to files (like PDFs) or external URLs related to the post.
Excerpt
Photo Tagline
  • A short line of content that appears below the featured image on the single post page and in some featured blocks.
Stay COnnected
  • Published news items can also be added to feature related posts you want to highlight for the reader.

CPT: Team Members

To create a new post, select Add New Team Member.

This Sample Team Member can be used as reference or duplicated as a starting off point.

first steps
  1. Add the Team Feature Hero block and fill in fields
    • Select team member
    • Fun fact
    • Bio intro content
  2. Below that add a Group with Mid-Narrow style
  3. Inside that group add any content you’d like
    • Headings
    • Paragraphs
    • Lists
    • Quotes
    • Etc.
Fill in CPT Fields
  • Headshot
  • Position
  • Phone number
  • Email

Published team members can be displayed in Featured Post and Team Grid blocks.


CPT: Board of Directors

To create a new post, select Add New Board of Director.

This CPT does not have a single page with content like team members.

Required fields:

  1. Name
  2. Title (position)
  3. Headshot

Published team members can be displayed in the Team Grid block.


CPT: Business Directory

To create a new post, select Add New Business to Directory.

Published businesses are displayed on the Business Directory & District Map page automatically in the Business Directory block.

Fill in fields like location, map url, hours, address, etc for businesses.

Categories

When adding or updating categories for businesses in the directory do not tag with the parent categories.

ONLY tag with the subcategories. The parent category a subcategory is under will be automatically applied to a business.

Parent Examples: SHOP, EAT

Subcategory Examples: Restaurants & Pubs, Women’s Apparel

Make sure to be intentional with categories and subcategories. Avoid creating new ones that are too specific. Try to keep them broad for better filtering/searching for users.


CPT: Events

To create a new post, select Add New Event.

This Sample Event can be a starting or reference point when creating new posts.

Content

CPT: Services Directory

To create a new post, select Add New Service Directory.

Add the Service Directory block to a page. Choose which directory to display. Choose an accent colour: Blue or Orange.

Repeater Rows:

  1. Section Name
    • Quick links anchor to section names from the repeator rows.
  2. Directory Items
    • Service Title
    • Service description (optional)
    • Service text & links
  3. Section Link (optional)
    • Use this to link to another page, post, or URL with more information people can view.
